Position Title: Team Administrator (Locally Employed)
New Zealand Embassy - Stockholm, Sweden
Are you a proactive and detail-oriented professional with strong skills in finance, budgeting, and office administration? Do you enjoy working in a dynamic environment where flexibility, initiative, and collaboration are valued?
The New Zealand Embassy in Stockholm is seeking a motivated and skilled Team Administrator to support the day-to-day operations of our office. This role is central to the Embassy's success, contributing to the smooth functioning of our internal systems and services. Key responsibilities include financial administration/property coordination, consular support, and general office administration.
About the role
As Team Administrator, you will work closely with the Administration Manager and the wider Embassy team to ensure efficient and effective delivery of operational support.
From managing payments, preparing financial reports, forecasts, and budget oversight to coordinating property and vehicle maintenance and assisting with consular services, you will provide valuable operational support to the Ambassador and management team, contributing directly to New Zealand's engagement in Sweden and the Nordic region.
This is a varied and hands-on role, ideal for someone who is adaptable and who enjoys working across multiple areas and contributing to a positive team environment. You will bring strong organisational skills, a customer-focused mindset, and excellent communication abilities in both English and Swedish.
Key Requirements
. Excellent written and spoken English and Swedish
. Ability to contribute to a positive, collaborative, and dynamic team environment
. Demonstrated expertise in administration, financial management, and budgeting, with familiarity in budgeting platforms such as Oracle regarded as a distinct asset.
. Strong organisational and communication skills
. Ability to work independently and manage multiple tasks
. Hold a valid driver's licence and have the legal right to live and work in Sweden
. Ability to obtain and maintain a security clearance, including a criminal record check
This is a permanent, locally employed position.
