About the position
For our growing office in Stockholm, we’re looking for a Project Coordinator.
The role supports the growth and daily operations of a dynamic office environment, contributing to both internal functions and external project delivery.
The position involves a broad mix of administrative, operational, and project-focused responsibilities, evolving over time based on business needs and individual capabilities.
The initial phase of employment will focus on inward-facing responsibilities, with a progressive shift toward external project engagement over time.
Specific time allocations will evolve with the role.
General Responsibilities
- Actively contribute to the development of a growing office expected to expand from 10 to 20 employees within 12–18 months.
- Perform a variety of organizational and start-up tasks aimed at streamlining office operations.
- Proactively identify operational needs and recommend actions to enhance efficiency and effectiveness as business understanding develops.
- Engage periodically with UK-based colleagues and projects as required.
- Foster and expand a professional network within the wider Jacobs organization to support business development and innovation.
Support Functions (HR/IT/Finance)
- Manage recurring reporting and engagement tasks in collaboration with internal teams and external supply chain partners.
- Assist in the delivery of governance-related processes.
Sales and Project Support
- Provide project management assistance through reporting, compliance, HSSE, and other support functions.
- Gradually transition into delivery and client-facing tasks aligned with expertise in landscaping and urban planning.
- Participate in bid processes, contributing according to experience and capacity.
Office Operations
- Ensure the smooth day-to-day functioning of office logistics, including inventory management and landlord liaison.
- Assume responsibility for designated office marshal roles such as fire safety and HLR coordination.
Here’s what you’ll need
- Bachelor's degree or equivalent professional experience in business administration, project management, urban planning, or a related field
- Prior experience in an administrative, operational, or project support role—preferably in a dynamic, growing office environment
- Familiarity with working in transportation/infrastructure/urban planning projects is a strong advantage
- Strong organizational and multitasking abilities with a keen attention to detail
- Demonstrated problem-solving mindset and initiative in identifying operational improvements
- Ability to collaborate across functions (HR, IT, Finance) and regions and manage recurring internal processes
- Comfortable working with project governance, compliance, and reporting frameworks
- Flexible and proactive in adapting to changing business needs and priorities
- Capacity to coordinate office logistics and liaise effectively with external vendors
